OGF Documents and Work Spaces

Overview of the Open Grid Forum document collection; how to use OGF's document preparation templates and spaces, and their relation to the OGF public process for document development.

Purpose

Open Grid Forum documents are prepared according to an open public process. The primary organizational method for current OGF working group, community group, and research group activity is through the OGF organizational pages on GitHub. Final documents are published once complete on the Documents page of the OGF web site.

Any method of preparing a document according to the OGF community process is acceptable. The use of GitBook spaces is also available to encourage collaborative development of community-based documents for submission through this process as decribed below. Use of GitBook is not required, but is intended as a supplement to assist with document preparation workflow.

About OGF Documents

One of the primary purposes of the Open Grid Forum (OGF) is to publish documents. These documents provide information and specifications to developers and others involved with use and support of any form of advanced distributed computing, including cloud and grid computing and associated management, infrastructure, data, architecture, application design, deployment, security, automation and control topics and issues.

Documents are most often authored by members of OGF Working Groups, Community Groups or Research Groups (WGs, CGs or RGs), but may be submitted by any person. Upon submission, there is a multi-stage review for OGF documents, including editorial review and public comment. For Recommendation track documents, "proposed" recommendations are the basis for reference implementations and may, with sufficient experience, become full OGF recommendations.

Documents in discussion within OGF Working Groups and Research Groups, which are intended to be submitted for publication as part of the OGF Document Series, are called Grid Working Drafts (GWD's). Once approved by the OGF Editor and the Grid Forum Steering Group (GFSG), a final document (GFD) becomes part of the OGF Document Series.

OGF Document Types

Four document types are defined at present:

Informational: To inform the community about a useful idea or set of ideas.
Experimental: To inform the community about a useful experiment, testbed, or implementation of an idea or set of ideas.
Community Practice: To inform the community of common practice or process, with the objective to influence the community.
Recommendations: To document a specification, analogous to an Internet Standards track document. OGF Recommendations are initially designated as "proposed," and following further experience and review may become full OGF recommendations.

OGF Document Templates and Tools

To aid the community in preparing documents with elements that have proven to be useful over time and that are consitent with the Open Grid Forum Document Process and Requirements described in GFD.152, the following templates are provided:

An online OGF GitBook Document Template at https://docs.ogf.org/ogf-document-template/.
A LaTeX package that contains all necessary elements.
A Microsoft Word template that can be used either directly or imported into other similar tools such as OpenOffice or Google Docs.

Additionally, a zipped archive of OGF presentation templates is available containing examples in several formats for presentation of talks to OGF meetings or on behalf of OGF.

The suggested method for use of OGF GitBook workspaces is to request the OGF Editor to set them up to be synchronized bidirectionally with corresponding repositories the Open Grid Forum organizational pages on GitHub for convenience in addressing document preparation, editing, and discussion steps through GitHub tools such as issues, branching and merging, and pull requests. While GitBook also has its own branching and merge management features, but in general communities may be more familiar with or prefer GitHub document management features for managing and discussing incremental changes.

Use of OGF GitBook spaces is suggested for convenience but not required It is intended as a supplement to assist with document preparation workflow. The final submission of documents for publication in completed form on the OGF web site can also be accomplished with other tools such as those listed above. Once accepted as an OGF document by the Editor and GFSG, the official final version is placed in PDF format on the OGF Documents page of the OGF web site and is considered the definitive version regardless of the method used to prepare it.

OGF Intellectual Property Statement and Copyright

The OGF copyright, intellectual property rights statement and associated disclaimer exist to ensure that the output documents produced through the open public process that is used by the OGF community remain available and useful to the community at large and that further work can be developed from published OGF documents with appropriate reference. The purpose of these features is to protect the open contributed nature of the material, and not to limit or otherwise hamper use of these contributions by the community. These policies and procedures have been developed over time from extensive experience, and are similar to those followed by other successful open standards bodies. They also set forward procedures to ensure that the appropriate open public process will be followed to make any changes, updates, errata or alterations to OGF published documents in producing any new versions.

All use of the OGF document preparation workspaces and associated templates is subject to the OGF copyright, intellectual property rights statement and associated disclaimer, and all documents submitted to OGF for publication must contain the associated OGF IPR statements.

Data Protection and Privacy

The Grid Forum Steering Group has reviewed OGF policies with respect to current international and regional data protection and privacy regulations and has come to the following conclusions. As with the policies of many large organizations, these will be subject to review and revision as our collective understanding of the applicability and implications of these requirements evolve, and as the regulations themselves continue to evolve and mature.

To comply with requirements introduced by the European GDPR and State of California requirements with respect to information tracking and disclosure, we are providing to you the following information:

OGF has a clear intellectual property rights policy in place that governs all contributions and communications. The relevant text, which covers the major points required to be addressed by the above regulations, has been in place since 2006 and can be accessed at the "OGF IPR policy link" at the page linked here. It is our interpretation that this policy meets all GDPR requirements regarding information permissions granted to OGF by all participants in OGF activities. These are clearly spelled out in detail and available to you for your review.
OGF does not have any current arrangements with business partners or any other external parties that require or enable data sharing. OGF's web sites track visitors for legitimate purposes of security and to allow response to and mitigation of potential intrusions, and do not use such information for marketing purposes. We do maintain records, largely in paper form, consisting of participation and permission records that allow OGF to verify agreement of OGF in-person meeting participants with the OGF IPR policy mentioned above.
Participation in an OGF email list or other electronic communication by you is also covered by the IPR policy, as explicitly stated on our web site and in the policy itself. This condition was in place from the outset of the initiation of these resources, and does not require a further update to comply with the GDPR.

Due to the nature of OGF as an open standards and best practices documentation organization, your participation explicitly grants OGF the right to retain certain identifying information, including signatures on the IPR policy agreements necessary for the organization to operate in an open public way. OGF reserves the right to retain this information to comply with legal requirements associated with its document development and assembly process. You do have the right to request access to the information that OGF holds for you, which consists of your membership in our email lists and the permissions granted to OGF by you in past meetings.
